Commercial Real Estate Legal Assistant

Blake, Cassels & Graydon LLP (Blakes), one of Canada’s largest and most successful law firms, has an immediate opening for a Commercial Real Estate Legal Assistant to join the Toronto office.
 
Working for a combination of senior and junior Law Clerks in a team environment with other experienced Lawyers, Law Clerks and Legal Assistants, you will be responsible for handling legal and administrative work. 
 
Primary responsibilities include, but are not limited to:

  • Preparing, formatting and editing legal documents, correspondence and record books

  • Troubleshooting document issues and assisting with advanced document processing tasks such as hyperlinks, bookmarks and cross-referencing

  • Communicating with clients, opposing counsel, land registry office and governmental staff

  • Keeping files organized and well indexed

  • Assisting in title and off-title diligence matters, including obtaining parcel registers and instruments in Teraview and undertaking off-title searches (written inquiries and online)

  • Preparing draft electronic registrations and other routine real estate closing documents, and reporting letters

  • Reviewing and summarizing corporate, security, bankruptcy and other searches

  • Managing calendar appointments and booking facilities and other meeting requirements

  • Registering legal professionals for upcoming continuing legal education programs and conferences, and any work-related travel arrangements

  • Performing administrative work related to files including arranging for wire transfers of funds, payment of third-party invoices, and other accounting related matters

  • Finalizing dockets, generating prebills and preparing invoices

Qualifications
Education/Experience:

  • Legal Assistant or Law Clerk diploma is required

  • Minimum of two years of relevant experience as a commercial real estate legal assistant or law clerk is required

Skills/Abilities:

  • Strong verbal and written communication skills

  • Strong organizational and time management skills with the ability to prioritize and handle competing priorities to meet deadlines

  • Ability to work independently and as part of a team

  • Ability to maintain accuracy with a high attention to detail and can exercise sound judgement

  • Approaching work with agility and the willingness to learn and utilize new technology

  • Proficiency in Teraview, Microsoft Office, PDF, DocuSign and document management systems

  • Expertise/familiarity with procedures in connection with mining land transactions, including conducting and reviewing searches within the Mining Lands Administration System; knowledge of registration procedures and of government regulations and policies as they relate to mining land transactions would be considered strong assets
