Document Specialist

Blake, Cassels & Graydon LLP (Blakes), one of Canada’s largest and most successful law firms, is currently looking for a Document Specialist to join the Document Services team in the Toronto office. The required hours of work for this position are Monday to Friday from 8 a.m. to 4 p.m. (ET).
Reporting to the Manager of Document Services, the Document Specialist will be responsible for all areas related to document production, providing technical and troubleshooting support in Microsoft Office applications and working closely with other members of the Document Services team.
Primary responsibilities include, but are not limited to:

  • Formatting and revising legal and complex documents in Word, including handwritten text, documents converted from PDF, Blakes templates and transcription of digital dictation

  • Creating and formatting Excel spreadsheets, tables, graphics and organizational charts

  • Creating and formatting PowerPoint presentations

  • Manipulating PDF documents, including creating fillable forms, redaction, bookmarking and hyperlinking

  • Troubleshooting document issues, as well as teaching and training others when required

  • Repairing corrupt documents in Word and formatting according to Firm standards

  • Performing mail merges

  • Managing incoming Document Services requests, including prioritizing and coordinating work for completion

  • Creating blacklines using Workshare Compare

  • Transcribing dictation using BigHand Digital Dictation

  • Screensharing through Microsoft Teams

  • Assisting with other tasks and/or special projects as needed


  • Minimum of three years of experience in document production in a legal environment

  • MOS certification an asset


  • Advanced knowledge of cleaning and formatting Word documents using DocXtools

  • Advanced level technical skills in Microsoft Office applications (Word, Excel and PowerPoint), Kofax Power PDF, Adobe Acrobat Pro, Workshare Compare and BigHand software

  • Excellent troubleshooting and problem-solving skills, with the initiative and ability to identify alternative solutions

  • Highly organized with great attention to detail

  • Self-motivated with the ability to manage multiple tasks with minimal supervision

  • Strong communication skills (both verbal and written)

  • Professional demeanour and strong customer-service skills

  • An understanding of saving and importing documents using the eDOCS electronic document management system
