Intellectual Property (IP) Docketing Specialist

Blake, Cassels & Graydon LLP (Blakes), one of Canada’s largest and most successful law firms, has an immediate opening for an Intellectual Property (IP) Docketing Specialist to join the Intellectual Property team in the Toronto office.
 
The IP Docketing Specialist will be responsible for providing comprehensive docketing services related to IP prosecution supporting our lawyers, agents and other team members of the Intellectual Property group, primarily through the use of the Firm’s IP docketing software, Pattsy, and document management system. The IP Docketing Specialist will (1) review and docket incoming IP-related correspondence, including patent office and client and foreign correspondence, (2) maintain the integrity and accuracy of the docketing software database, and (3) assist the back-office operations of the group to establish and maintain best practices and mitigate risk by facilitating compliance with docketing policies and protocols.
Primary responsibilities of the position include, but are not limited to:

  • Processing incoming paper and electronic IP correspondence by reviewing and analyzing correspondence

  • Extracting relevant information and dates from correspondence and entering same into the docketing database

  • Processing internal data entry instructions from members of the IP team

  • Processing new application filing instructions by reviewing instructions received from clients, creating new records and entering information and deadlines

  • Generating and distributing reports from the IP docketing database, including regularly scheduled dockets and custom reports on an as-needed basis requested by IP team members

  • Managing and maintaining the IP group’s letter templates under supervision from the IP professionals

  • Replying to all incoming inquiries directed to the Firm’s general IP email addresses and forwarding them to the appropriate personnel

  • Liaising with professionals in the IP group regarding discrepancies in correspondence or the docketing database

  • Contacting CIPO directly to solve problems with incorrect or missing correspondence

  • Managing and reconciling the Firm’s CIPO and USPTO deposit accounts

  • Providing coverage for other members of the back-office when they are absent

 
Qualifications
 
Education/Experience:

  • Post-secondary education required

  • Minimum of three years of professional experience in patents, trademarks and data entry

  • Proficiency with IP docketing software, preferably Pattsy

  • Experience in a professional services environment required

Skills/Knowledge Requirements:

  • Excellent written and verbal communication skills

  • Diplomacy and strong interpersonal skills

  • Meticulous attention to detail

  • Project management skills with ability to multitask, prioritize effectively and meet deadlines

  • Thrive in a fast-paced, demanding environment

  • A team player who works well independently

  • An ability to organize and prioritize workload within an often busy, deadline-driven environment is key

  • Proficiency in Microsoft Office programs, including Word, Excel and PowerPoint

  • A desire to become an “expert” in using the IP docketing software to take full advantage of the software platform features to facilitate timely and efficient completion of work for all the IP team members, and a bias towards continual learning and improvement

  • Have a positive “can-do” attitude
